HoloTutor Overview
HoloTutor is VictoryXR’s web-based AI learning platform. A lifelike 3D AI tutor teaches out loud on an interactive whiteboard, answers questions in real time, runs role-play scenarios, and builds practice activities on demand. HoloTutor runs entirely in a web browser at app.holotutor.ai, so there is nothing to download or install.

HoloTutor Overview
A 3D AI Tutor That Teaches Out Loud
Every lesson is delivered by an AI avatar that narrates whiteboard-style boards, reveals diagrams and key points as it speaks, and pauses to check for understanding. Learners can stop at any time, type or speak a question, and the tutor answers out loud before picking the lesson back up where it left off.
A Library of Ready-to-Use Content
The Library includes a growing collection of published lessons, scenarios, quizzes, flashcard decks, and courses created by VictoryXR and other creators, organized by subject areas such as Science, History, Mathematics, Healthcare, Law, Business, and Career & Technical Education (CTE).
Study Anything, On Demand
In Study mode, learners name any topic and HoloTutor builds a live lesson around them on the spot. Learners can steer the session with follow-up questions, or ask the tutor to generate a quiz or flashcards to test themselves.
Scenarios: Practice Real Conversations
Scenarios are conversational role-plays with an AI character, such as a patient, a job interviewer, or an upset customer. Learners talk (or type) their way through the situation, making them ideal for healthcare, interviewing, customer service, and other communication skills.
Creator Studio
You can build your own lessons, scenarios, quizzes, flashcards, and courses. Describe what you want and the Creator Studio drafts it for you, or build it yourself board by board. Everything can be edited, previewed, and published privately, to your organization, or publicly.
Classes, Assignments, and Student Activity
The Team dashboard gives Team Leads and Instructors the tools to create classes, assign content with due dates, and review detailed student activity, down to individual sessions, questions asked, and time spent. Team Leads also manage members and license seats.
Notes, Voice Input, and Multilingual Voices
A built-in Notes panel travels with learners across the app. Voice input lets learners speak instead of type, and a large library of AI voices and a choice of tutor avatars lets each learner personalize their experience.
Works Alongside VXRLabs
HoloTutor lessons can be pushed to VXRLabs when they are published, and many VictoryXR AI experiences are available in both platforms.
Accessibility
HoloTutor runs in any modern web browser (Chrome, Edge, Safari, or Firefox) with no application installation required.
Get started
Getting Started with HoloTutor
HoloTutor organizations are set up in one of two ways. Most schools and businesses that purchase through VictoryXR have their accounts and organization managed in VXR Nexus, VictoryXR’s account and license management system. Other customers set up and manage their organization directly inside HoloTutor. The steps for each are below. If you are not sure which applies to you, look for the NEXUS-MANAGED label on your organization in the HoloTutor Team dashboard, or contact your Team Lead.
System Requirements
- Browser: An up-to-date version of Google Chrome, Microsoft Edge, Safari, or Firefox.
- Audio: Speakers or headphones so you can hear the tutor.
- Microphone (optional): Required only if you want to speak to the tutor. Your browser will ask for microphone permission the first time you use voice input.
- Internet connection: A reliable connection. See Troubleshooting & Network Requirements for the domains your network should allow.
User Roles
Every member of an organization has one of the following roles:
- Student: Plays lessons, scenarios, and activities, uses Study mode, and completes assigned work.
- Instructor: Everything a Student can do, plus managing their own classes, assignments, and student activity.
- Team Lead: Everything an Instructor can do, plus managing members, license seats, moderation, and organization settings.
If your organization type is set to Business, the Team dashboard uses workplace wording: students are shown as employees and instructors as trainers.
Option A: Organizations Managed in VXR Nexus
Creating an Account
The first step in getting started will be to create your VictoryXR account. Once your order is processed, you will receive an order confirmation email from VictoryXR. This email explains which link to use to access your products: app.holotutor.ai for HoloTutor, or account.victoryxr.com for Nexus (VXRLabs). If you have both HoloTutor and VXRLabs licenses, you will manage everything in Nexus.

You will also receive an automated Welcome to VictoryXR! email. In this email, you will find important information on accessing your content, including a code for redeeming your licenses, and you will be prompted to select the blue Get Started button at the bottom of the email. When you select Get Started, your licenses will be automatically redeemed to the email address associated with your purchase. To redeem your licenses to a different email address, go to account.victoryxr.com/redeem and enter the code from the email instead. If you don’t see this email in your inbox, please check your spam folder.

Upon selecting the Get Started button, you will be redirected to the Sign Up page where you will input a display name, email address, and your desired password, and then select Create an Account. Please note that you must use the same email address that you used to purchase your products. If you have SSO credentials through Clever or Edlink, you can also create an account by selecting Sign Up with Clever or Sign Up with Edlink. Please write your credentials down in a safe place, as you will use them to sign in to HoloTutor.

Once you select Create an Account, you will be required to Verify Your Email. After verifying your email address, select Sign In to sign in to your account. If you did not receive a verification email, please check your spam folder first, and if you can’t find it there, contact info@victoryxr.com.
Setting up an Organization
Upon your first time signing in, you will be asked to select the type of organization that you are a part of: College or University, K-12 School, Homeschool, or Business or Other. If you are an individual subscriber or you are not affiliated with one of these organization types, select Business or Other.

If you choose College or University, K-12 School, or Business or Other, you will be prompted to select I want to join my school/business’s existing VictoryXR organization OR I’ve just purchased a VictoryXR product for the first time.
- If you are the Team Lead for your organization and no one else in your organization has completed this process yet, select I’ve just purchased a VictoryXR product for the first time and enter a name for your organization.
- If you are an Instructor, or a new Team Lead, who has been invited by an existing Team Lead, select I want to join my school/business’s existing VictoryXR organization. You will be added automatically to the organization you were invited to.
- If you choose Homeschool, this account becomes your parent account, and you will be asked to enter a name for your homeschool. You can set up accounts for your child(ren) later.

Adding Instructors, Team Leads, and Students in Nexus
For Nexus-managed organizations, members are added in Nexus. From the Nexus Dashboard, open Organization Management and select Users & Students.
To invite Instructors, Team Leads, or Students by email, select Add Users. Enter one email address per line, OR upload a CSV File and select the Email Column that contains the users’ email addresses. Select a Role (Student, Instructor, or Team Lead), search for a Class/Group if needed, and select Add Users. Once invited, each person will receive an email notification to create an account.

Note
HoloTutor licenses are not granted from this window. The HOLOTUTOR checkbox is unavailable; select assign here next to it to open Team > Licenses in HoloTutor, where you can assign seats to your members (see Team Dashboard > Licenses and Usage). The window may also offer licenses to other VictoryXR products your organization owns, such as VXRLabs.
To add Students without email addresses, select Add Students, then choose one of the following:
- Add A Single Student: Enter the student’s First Name and Last Name (a generic name can be used). Enter a Username and Password of your choosing, or leave them blank to have them generated for you. Usernames can contain lowercase letters, numbers, hyphens (-), periods (.), and underscores (_). Select Add Student.
- Add Multiple Students: Upload a CSV File containing the students’ usernames and passwords (the first row should be the column labels). Select the Name Column (optional), Username Column, and Password Column, search for a Class if needed, and select Add Students.

Please record usernames and passwords in a safe place so you can share them with your students. As with Add Users, HoloTutor seats for new students are assigned in HoloTutor under Team > Licenses.
Managing HoloTutor Licenses in Nexus
Your organization’s licenses are listed under Organization Management > Subscription. The HOLOTUTOR row shows how many licenses your organization has purchased and when they expire. Use the buttons in the row to manage your subscription:
- Assign Licenses: Opens Team > Licenses in HoloTutor, where you assign seats to your members.
- Renew: Renew your subscription.
- Change Owner: Change the owner of the subscription.
To apply a new purchase code, select Redeem Code at the top of the page, enter the Code, select which organization to redeem the product(s) to, and select Redeem Code.

License seats can also be assigned from inside HoloTutor at any time. See Team Dashboard > Licenses and Usage.
Organizations created from September 2026 onward have Assign licenses automatically switched on in HoloTutor, so your members may already hold seats when you open Team > Licenses. See Assign licenses automatically.
Accessing HoloTutor from Nexus
Select the HOLOTUTOR tile on the Nexus Dashboard to open HoloTutor at app.holotutor.ai. You can also go to app.holotutor.ai directly and sign in with the same VictoryXR email (or username) and password.

Members added in Nexus appear in HoloTutor under Team > Members. Anyone who has not signed in to HoloTutor yet is listed under Waiting to Join; they join automatically the first time they sign in, and any seat reserved for them is assigned at that moment.
Option B: Organizations Managed in HoloTutor
If your organization is not managed in Nexus, your account, members, and seats are all managed inside HoloTutor. You can create a free account directly in the app, or sign up on the HoloTutor website when purchasing a subscription. If you purchased a license, use the same email address you used for the purchase.
Creating a Free Account in the App
Go to app.holotutor.ai, select Sign in at the bottom of the sidebar, and then select the Create account tab.

- Enter your Display name, Email, and Password.
- Enter your Year of birth. HoloTutor accounts are for ages 13 and up.
- Check I agree to the Terms of Service and Privacy Policy. You can also choose to receive product updates and offers by email (optional).
- Select Create account.
If you already have a VictoryXR account, select Sign in with VictoryXR to sign in with it instead.
Signing Up When Purchasing a Subscription
Go to holotutor.ai and select Pricing. Select Sign up for the free Basic plan or Start Plus for the Plus plan. Schools, districts, and teams can select View discounts under Team to see volume pricing. You will be taken to the Create your account page.

- Select Continue with VictoryXR to use an existing VictoryXR account, or enter your Name, Email, and Password.
- Enter your Year of birth. HoloTutor accounts are for ages 13 and up.
- Check I agree to the Terms of Service and Privacy Policy, and optionally choose to receive product updates and offers by email.
- Select Create account, then follow the prompts to complete your purchase.
If you already have an account, select Sign in at the top of the form.
After You Create Your Account
- If you received a redemption code from a purchase, reseller, or invoice, or a join code from your Team Lead, open Settings, scroll to Account, paste the code, and select Redeem (see Redeeming a Code below).
- Team Leads can then open Team > Members to invite people, set their roles, and manage passwords, and Team > Licenses to assign seats.
For help onboarding a large group of users, send a message from Team > Help or email info@holotutor.ai and the HoloTutor team will assist.
Redeeming a Code
Open Settings from the bottom of the sidebar and scroll to the Account section. Paste your code into Enter your code, choose where to apply it, and select Redeem.
- Automatic (based on the code): Applies a personal code to your own account and team-seat codes to your organization.
- A specific organization: Places the seats in that organization as unassigned inventory. Nobody is assigned a seat automatically, so a Team Lead will need to assign them on the Licenses page.

Your Workspace vs. Your Organization
Every HoloTutor account has a personal space called My workspace, separate from any organization you belong to. Which one you are in decides which license you are using:
- My workspace is yours alone. It never has members, seats, or classes, and it runs on the free plan unless you bought a personal subscription.
- Your organization is your school, district, or company. Purchased licenses, classes, assignments, and content shared with your team all live there.
If your school has licenses but you are working in My workspace, you are on the free plan and will reach usage limits even though seats are sitting unused in your organization. This is the most common reason someone hits a limit on a paid account.
Note
Since September 2026, My workspace is hidden once you belong to an organization, so most people never see it. It still appears if it is the space you are currently working in, or if you have already created content or bought a personal subscription there. If you do see it, treat it as a personal space that is separate from your school.
Switching organizations
If you belong to more than one organization, select your name at the bottom of the sidebar to open your Profile, then choose the organization you want to work in under Organization. The active organization decides where content you share with Organization visibility is published, and which team you see across the app. Team Leads can also switch from the organization menu at the top of the Team dashboard, under Switch organization.
Your license follows you. If you hold licenses in more than one organization, HoloTutor uses your highest-tier license no matter which organization is active, so having the wrong one selected will not drop you to the free plan. You still need the right organization active for classes, assignments, and content you share with your team.
To sign in with a different account, open your Profile and select Switch account or Sign out.

Navigating HoloTutor
Home
When you sign in, you will land on the Home screen. From here you can jump into a subject, start a featured experience, or go straight to the main areas of the app.

- Subject filters: Select a subject such as Science, History, or Career & Technical Education (CTE) to open the Library filtered to that subject. Use the arrow at the end of the row to see more subjects.
- Featured: A rotating carousel of featured lessons and activities. Select Start lesson or Take quiz to begin.
- Quick links: Library (lessons, flashcards & quizzes), Study (learn anything with your tutor), Create (build your own experience), and Help (instant answers & support).
The Sidebar
The sidebar on the left side of the screen is available throughout the app:
- Home: Return to the Home screen.
- Library: Browse published lessons, scenarios, activities, and courses.
- Study: Ask the tutor to teach you anything.
- History: Pick up where you left off in past lessons, study sessions, scenarios, and activities.
- Create: Open the Creator Studio to build your own content.

- Profile (your name): View your stats and usage, switch organizations, manage your subscription, and sign out.
Your AI Tutor and the Chat Bar
Your AI tutor appears in the panel on the right side of the screen. The chat bar at the bottom of the screen is how you talk to the tutor:
- Mute tutor / volume: Mute the tutor or adjust the tutor’s volume.
- Open notes: Open the Notes panel (see Notes).
- Chat box: Type a question or topic, then press Enter or select Send.
- Dictation language: Choose the language the microphone listens for. Speech recognition only hears the language selected here.
- Voice input (microphone): Select the microphone and speak. Your words appear in the chat box so you can review them before sending.
You can change your tutor avatar and voice at any time in Settings. Your chosen tutor teaches Study mode, activities, and the Home screen. Lessons and scenarios use the tutor chosen by their creator, so the avatar there may be different.
Understanding AI Usage
Every HoloTutor account includes a monthly allowance of AI usage that resets at the start of each month. AI usage is consumed whenever HoloTutor’s AI does work for you, including:
- Creating content: Generating lessons, scenarios, quizzes, flashcards, images, thumbnails, or backdrops in the Creator Studio, and building new lessons or activities in Study mode.
- Asking questions and talking with an AI avatar: Asking the tutor a question during a lesson, continuing a Study session, or having a conversation with a character in a scenario.
- Publishing content: Publishing a lesson or other experience uses AI to generate its narration audio, transcription, and thumbnail.
You can see how much of this month’s allowance you have used on your Profile page, and Team Leads can see organization usage under Team > Licenses.
What happens when you reach the limit
HoloTutor tells you why you ran out and what to do about it. What you see depends on your role and on your organization’s licenses:
- You have a license and used this month’s allowance: the message gives the date your usage comes back, with a link to your usage on your Profile.
- No license is assigned to you and seats are free: Team Leads get an Assign one to me button. Everyone else is told to ask their Team Lead.
- Every seat is in use: Team Leads get a Manage licenses button to free one up or add more. Everyone else is told to ask their Team Lead.
- Your organization’s licenses ended: Team Leads get a Contact us button so we can help you renew.
- You are on the free plan: the message offers View plans and tells you when your free usage resets.
If another organization you belong to has a license available, the message also offers to switch you to it.

Learning
Learning with HoloTutor
Playing a Lesson
To start a lesson, open it from the Library or Home screen and select Play lesson. The tutor narrates each board, and bullet points, diagrams, and images appear on the whiteboard as they are discussed.

The lesson controls along the bottom of the screen include:
- Progress bar: Shows your place in the lesson. Each segment is a board, and markers show where Quick Check questions appear. Hover to see the time, or select a point on the bar to jump to it.
- Mute tutor / volume: Mute the tutor or adjust the volume.
- Open notes: Take notes without leaving the lesson.
- Previous / Pause / Next: Move back a board, pause or resume narration, or skip ahead a board.
- Ask about this lesson: Type or speak a question for the tutor.
- CC: Show or hide captions.
- Show transcript: Open the transcript of your conversation with the tutor.
- Pin controls: Keep the controls visible, or unpin them so they hide automatically.
Asking Questions During a Lesson
You can ask a question at any time. Type (or speak) your question in Ask about this lesson and press Enter. The tutor answers out loud, and the chat box changes to Ask a follow-up so you can keep the conversation going. When you are ready, select Back to lesson to pick up where you left off. Select the transcript button to review everything you have asked and the tutor’s answers.

Quick Check Questions
Many lessons include Quick Check questions. Select your answer to see whether you were correct along with a short explanation, then select Continue to move on.

Taking a Scenario
Scenarios let you practice a real conversation with an AI character. Open a scenario and select Start scenario. A welcome card describes the situation; select Start scenario again when you are ready.

The character appears full screen and speaks first. A status label shows when the character is SPEAKING, and captions appear along the bottom of the screen. Respond by speaking into your microphone, or switch to typing.

- Mute / volume: Mute the character or adjust the volume.
- Open notes: Take notes during the conversation.
- Switch to chat / Switch to mic: Toggle between typing and speaking your responses.
- Dictation language: Choose the language the microphone listens for.
- Take the floor (hand): Interrupt the character so you can speak.
- Show transcript: View the conversation so far.
- End scenario: Finish the conversation. You can then select Start over or Back to library.
Some scenarios include resources, such as a lab report, incident report, or résumé, that you can review during the conversation.
Practicing with Quizzes
Open a quiz and select Start. The quiz shows your progress (for example, 1 / 6) and the question type. Answer the question and select Check to see if you are correct. Depending on how the creator set up the quiz, feedback may appear after each question or only after you submit the entire quiz.

Question types include Multiple choice, True/False, Short answer, Fill in the blank, Sort into categories, Match pairs, and Put in order.
Practicing with Flashcards
Open a flashcard deck and select Start. Select the card to flip between the front and back. Select Hint to see a hint (when the creator included one), select the speaker icon to have the tutor read the card aloud, and use Prev and Next to move through the deck.

Working Through a Course
A course is an ordered set of lessons, scenarios, and activities. Open the course and select the play button next to the first item. Work through the items in order.
Study Mode
Study mode lets you learn anything, on demand. Select Study in the sidebar, type (or speak) what you want to learn in the chat bar, for example Teach me how photosynthesis works, and press Enter. HoloTutor builds a live lesson around your topic, narrating new boards as they are created.

While you study, use Ask a follow-up, or take us somewhere new to ask questions, go deeper on part of the topic, or change direction entirely. The lesson controls work the same way as in a published lesson.
You can also ask the tutor to test you, for example Make me a short 3-question quiz on this. HoloTutor starts an activity with questions based on what you have been studying.

If you would like to keep a quiz generated in Study mode, select Publish this quiz and choose who can see it: Private (only you), Organization, or Public (reviewed, then listed publicly). Published quizzes appear in Library > My Experiences.

Notes
The Notes panel is available from the notebook button in the chat bar on nearly every screen, so you can take notes while you learn. The panel floats over the page and can be closed at any time.

- Note selector: Rename the current note, switch between notes, or create a New note.
- Export PDF: Download the current note as a PDF.
- Formatting toolbar: Change text size, bold, italic, underline, color, highlight, alignment, bullets, numbering, and emoji.
Select the menu button in the top-left corner of the panel to open Note Options and turn on additional tools:

- Enable Tabs: Organize a note into color-coded tabs.
- Capture tools: Add an outline, insert a box note, take a screenshot of the current board and add it to your notes, or dictate notes with your voice.
- Font options: Show or hide the formatting toolbar (on by default).
- Self-Test Tools: Adds tools for quizzing yourself on what you have written.
History
History keeps everything you have worked through so you can pick up where you left off. Filter by All, Lessons, Study, Scenarios, or Activities, and select any item to return to it.

Assigned Work
When a teacher or Team Lead assigns you content, a To Do entry appears in the left sidebar listing everything that is due, along with any due dates and instructions. Completing assigned work automatically updates the progress your instructor sees in the Team dashboard. You can also choose to receive an email when you get a new assignment in Settings > Notifications.
Creating content
Creator Studio
The Creator Studio is where you build your own lessons, scenarios, activities, and courses. Select Create in the sidebar to open it. The left side of the screen asks What would you like to build?, and the right side lists My experiences, everything you have created.

- Lesson: Narrated, whiteboard-style boards with visuals and diagrams, built one board at a time.
- Scenario: A branching, conversational role-play where students talk through a situation with an AI character.
- Course: Bundle lessons, scenarios, and activities into an ordered sequence students work through.
- Activities: Reusable practice students work through on their own, either a Quiz to check understanding or a deck of Flashcards for recall.
Two Ways to Build
After you choose what to build, you can either let the Studio draft it for you or build it yourself:
- Ask the Studio: Describe what you want in the chat box and press Enter. Tell the Studio the topic, who it is for, and roughly how long it should be, for example Teach photosynthesis to 7th graders, about 8 boards. Select the paperclip to attach your own material, such as a PowerPoint, PDF, outline, or video, for the Studio to build from.
- Build it myself: Select Build the lesson myself, Build the scenario myself, Write the quiz myself, or Write the cards myself to start from a blank editor.
- Change type: Go back and choose a different type of experience.
The My experiences panel lets you search your content, switch between All and Drafts, sort by Recently modified or name, and filter by type (Lessons, Scenarios, Quizzes, Flashcards, Courses) or subject. If you have created AI lessons in VXRLabs, they appear here greyed out with an import option; select VXRLabs lessons to show or hide them.
Creating a Lesson
Generating a Lesson with the Studio
Select Lesson, describe the lesson you want, and press Enter. The Studio plans the lesson, then opens the boards editor and builds each board, including titles, bullet points, diagrams, images, narration, and Quick Check questions. Progress messages appear in the Creator Studio panel on the right, and the lesson is ready to read and edit as soon as the boards appear. If you do not like a change, select Undo under the Studio’s message.

Always review AI-generated content for accuracy and fit before publishing it for students.
The Boards Editor
Lessons are built as a stack of boards. Each board is one step in the lesson. The editor is organized into three steps across the top of the screen: 1 Boards, 2 Scene, and 3 Publishing. The top bar also includes the lesson Title, a save status, a ? button to replay the editor tour, and the Publish, Preview, and Play buttons.

- Boards panel (left): Shows a thumbnail of every board. Drag thumbnails to reorder them, open a board’s menu to Duplicate, Move up, Move down, or Delete it, and select Add board to add a new board.
- Canvas (center): Edit the selected board directly. Changes save automatically as you work. Diagrams include an Edit diagram button.
- Drawing tools: Pan, Selection, Rectangle, Diamond, Ellipse, Arrow, Line, Draw, Eraser, Image, and Text, plus text styles. Select the lock icon to keep a tool active after drawing.
- Insert menu (+): Add an Image component (a single image, grid, stack, or slideshow), an Equation (LaTeX), a Graph of a function, a GIF, or Generate image to describe an image and have AI create it.
- Zoom and history: Zoom in or out, reset zoom, recenter, and undo or redo changes from the bottom-right corner of the canvas.
A new, empty board offers templates to start from, or you can draw or ask the Studio to generate a board:
- Layouts: Header + bullets, Title board, Compare.
- Diagrams: Venn diagram, Timeline, Hierarchy, Table, Cycle, Process flow, Graph.
- Activities: Question, Quiz, Video, Document, Flashcards, Scenario.
Narration and Events
The Narration box below the canvas holds the text the tutor reads aloud for the selected board (one paragraph per board). Events let you control what happens on the board as the tutor speaks. Select Add event and either click an event type to drop it at your cursor, or drag it onto a specific word so it fires when the tutor reads that word.
- Visibility events: Reveal, Hide, or Clear annotations.
- Annotation events: Next image, Highlight, X-out, Circle, Arrow, Scribble out, or Label.
Events appear as colored chips inline with your narration. Select a chip to change its type, choose which element on the board it applies to, set the transition (instant, fade, or draw), or change its color. Drag a chip to move it. If you delete the word a chip was attached to, the chip moves to a tray at the bottom of the narration box so you can re-attach or remove it.
Activity Boards
Activity templates add interactive boards to your lesson:
- Question: A single question. Choose the question type (Multiple choice, True/False, Short answer, Fill in the blank, Sort into categories, Match pairs, or Put in order), add an optional image, enter the answer choices and mark the correct one, allow multiple correct answers, and choose whether to shuffle answers.
- Quiz: A set of questions within the lesson. Add questions or Import from library, and set quiz options (see Creating a Quiz).
- Video: Drag in a video or paste a URL. YouTube, Vimeo, and direct .mp4/.webm links from .gov, .org, .edu, and .mil domains are supported. You can add an optional caption.
- Document: Upload a PDF (up to 28 MB) and choose which pages to show.
- Flashcards: Add cards or Import from library.
- Scenario: Embed a conversational role-play in the lesson, or Import from library (see Creating a Scenario).
Working with the Studio
The Creator Studio panel on the right side of the editor is an AI assistant for your lesson. Describe what you want and it builds or refines the lesson for you, for example Add a timeline board for the key events. The Studio can plan a deck, add boards, generate question or flashcard slides, or rewrite narration. Use the @ button to attach context, such as the current board, and the paperclip to attach a file. Select Clear chat to start a new conversation. Use Lesson Media > Add to upload images or videos you want to use in the lesson.
Scene: Avatar, Voice, and Backdrop
Select 2 Scene to choose how the lesson looks and sounds. These choices apply to the whole lesson.

- Avatar: Choose the tutor who presents the lesson. If you do not pick one, learners see their own chosen avatar.
- Voice: Search the voice library or filter by gender, age, and language. Select the play button to preview a voice.
- Backdrop: Choose the environment behind the whiteboard, such as a classroom, library, study room, or lab. You can also Generate your own backdrop with AI, or choose from Community backdrops shared by other creators.
Preview, Play, and Publish
Select Preview to click through every board and confirm that reveals and other events fire in the right order (preview has no audio). Select Play to run the full lesson with narration, exactly as learners will experience it.
When you are ready, select Publish (or 3 Publishing) to review the lesson details. The Studio pre-fills these details for AI-generated lessons, and you can edit any of them:

- Description: A short summary of what learners will get from the lesson.
- Subject and Grade level: Help others find the lesson in the Library.
- Visibility: Private (only you), Organization (your school or team), or Public (anyone with the link). Public content may be reviewed before it is listed in the public Library.
- Courses: After the lesson is published, select Add to course to add it to one of your courses.
- VXRLabs: Turn on Push on publish to also make the lesson available in VXRLabs.
- Thumbnail: Upload an image or describe one and select Generate. If you do not add a thumbnail, one is generated from your title and description when you publish.
Select the Publish button at the bottom of the page. After a lesson is published, future changes are saved by publishing again (Update).
Note
Until a lesson is published, your edits are saved as a draft in the browser you are using. To keep your work available on other computers, publish it (you can publish privately).
Creating a Scenario
Select Scenario in the Creator Studio. To have the Studio write it, describe the situation and who the learner is talking to, for example A patient interview for a 55-year-old with chest pain. To build it yourself, select Build the scenario myself.

The scenario editor has three steps: 1 Scenario, 2 Scene, and 3 Publishing. On the Scenario step, complete the following:
- Template: General, Patient, or Interview. The template decides which fields the scenario has and how the AI plays the character. Switching templates keeps everything you have already typed.
- Character: The character’s Name (shown on the nameplate), Personality (demeanor, mood, and speech style; the more specific, the less generic the conversation), and Who they are (history, motivations, and what they want from the conversation).
- Situation: What’s happening, the setting and what is going on as the scene opens. The character believes all of this is true.
- Opening & Closing: The first thing the character says when the scenario begins, and the final line it delivers when the scenario ends.
- Resources: Upload files for the learner to review (video up to 500 MB, audio up to 200 MB, PDFs up to 100 MB, images and Word documents up to 25 MB, text and Markdown files up to 2 MB), or write one from a template such as a Blank page, Incident report, Email, Customer account record, Memo, Text messages, Newspaper clipping, or Handwritten note.
- Activities: Add a new quiz or flashcards, add ones from the Library, or have quizzes and flashcards made in the moment.
Select More options to fine-tune the conversation:
- Response style: How much the character volunteers (Only what was asked, Answers naturally, or Volunteers freely), whether it asks the learner questions (Never asks, Sometimes asks, or Freely asks), and how long its replies run (Clipped, Normal, or Chatty).
- Who the learner is: Turn on The character already knows the learner if they have met before.
- What the learner must uncover: Add the key points the learner should discover during the conversation.
- What the learner sees first: Customize the heading, body text, and start button label on the scenario’s welcome card.
The Patient template adds fields for the patient’s medical history and resources such as a vitals monitor, lab report, imaging report, and progress note. By default, a patient answers only the question in front of them, which is ideal for graded assessments where the learner needs to know what to ask. The Interview template adds interview questions and resources such as a résumé, job description, cover letter, and interviewer scorecard.
As with lessons, use the Creator Studio panel to build or refine the scenario (for example, Make the character more defensive), set the avatar, voice, and backdrop on the Scene step, and set the details and visibility on the Publishing step before selecting Publish.
Creating a Quiz
Select Activities > Quiz. To have the Studio write it, tell it the topic and how many questions you want, for example A 10-question quiz on the water cycle, and it will write the questions with plausible wrong answers. To build it yourself, select Write the quiz myself.

- Title and thumbnail: Name the quiz and upload or generate a thumbnail (saved when you publish).
- Quiz options: Shuffle question order, Shuffle answer order, Reveal answers at the end (hide feedback until the student submits the whole quiz), and Partial credit (award a share of the credit on multi-part questions).
- Questions: Select Add question, choose the question type, enter the question, add an optional image, and enter the answers, marking the correct one(s). Individual questions can override the quiz’s shuffle and partial credit settings.
Use the Creator Studio panel for help, for example Add 3 multiple-choice questions or Make the questions harder. Select Play to try the quiz, choose its visibility from the menu next to the title, and select Publish.
Creating Flashcards
Select Activities > Flashcards. To have the Studio write the deck, tell it the terms or topic, for example Spanish food vocabulary, about 20 cards. To build it yourself, select Write the cards myself.

Select Add card for each card. Enter the Term on the front (with an optional hint and image) and the Answer on the back (with an optional image). Drag cards to reorder them, or select the X to remove a card. Select Play to try the deck, choose its visibility, and select Publish. After publishing, select Save to publish future changes.
Creating a Course
Select Course in the Creator Studio (or New course in the Library). The course is created and saved automatically as you work.

- Enter a Title and Description (what the course is about and who it is for), and Upload or Generate a thumbnail.
- Select Add items. Choose Lessons, Scenarios, or Activities, choose where to look (Public, Organization, or My Experiences), search if needed, and select Add next to each item. Select Done adding when finished.
- Drag items to put them in the order learners should complete them. Use the play button to preview an item, or the trash icon to remove it.
- Use the visibility menu at the top of the page to choose Private (only you), Organization (everyone in your organization), or Public (anyone on HoloTutor), and select Preview to see the course as learners will.
Managing Your Experiences
Everything you create appears in Library > My Experiences and in the My experiences panel of the Creator Studio. Open an item to see its details page. As the creator, you have additional options:

- Edit: Rename the item or replace its thumbnail (select Replace to upload a new image, or Regenerate with AI), then select Save. Select Open in creator to make changes to the content itself.
- More (⋮): Change the visibility to Private, Organization, or Public, or Delete the item.
- Card menu: On a card in My Experiences, select the ⋮ menu to Upload thumbnail or Regenerate with AI.
Team management
Team Dashboard
The Team dashboard is where Team Leads and Instructors manage their organization, classes, assignments, and student progress. Select Team in the sidebar to open it. Select Open App at the top of the dashboard to return to HoloTutor.
Licenses at a glance
- Licenses belong to your organization, never to a personal workspace.
- A seat has to be assigned to a person before they get the paid plan, either automatically or by a Team Lead.
- Usage is counted per person, per month and resets on the first of the month.
Organization Overview
The Organization page shows your organization’s name, your role, the number of members, and the number of license seats assigned and available. Organizations managed in Nexus display a NEXUS-MANAGED label. Shortcuts to every area of the dashboard appear below.

The top bar of the dashboard includes a search box (Search pages, users, classes), a refresh button, Home, Open App, the notifications bell, and an organization menu for switching between organizations you belong to.
Members
Members (Team Leads) is people management: invites, roles, passwords, and removing accounts. The table lists each member’s name, email, role, and license. Select a member to see their organizations, classes, due and completed assignments, and a View activity link.

For Nexus-managed organizations, a banner explains that members are managed in Nexus. Select Manage in Nexus to add, remove, or invite users (see Getting Started). License seats remain editable in HoloTutor. People who were added in Nexus but have not signed in to HoloTutor yet appear under Waiting to Join; they join automatically the first time they sign in, and until then they do not use a seat. If Assign licenses automatically is on, they are given a spare license as they join; Reserve still lets you hold a specific seat for someone in advance.
Licenses and Usage
Licenses (Team Leads) is seat management: your license inventory and who holds which seat. Your organization buys a block of seats, and Team Leads assign, unassign, or swap them between members here.

- Licenses: Each license shows its plan (for example, HoloTutor Plus), how many seats are assigned, how many are fresh or partially used, and the expiration date.
- Usage: The percentage of this month’s AI credits used by the organization, and the date usage resets.
- Assigned Seats: Every member and their assigned license. Select Assign next to a member, or check several members and select Assign seats to selected. Use Reserve to hold a seat for someone who has not joined yet. Sort by name, usage, or expiry.

Assign licenses automatically
At the top of Licenses is a card called Assign licenses automatically. Turn it on and HoloTutor hands out seats for you:
- On: new members get a spare license when they join, and any licenses you add go to people who do not have one. Team Leads and instructors are served first, then everyone else in the order they joined.
- Off: licenses go only to the people you assign them to.
Either way it never takes a license away from anyone, and a license you remove by hand stays removed. Team Leads can still assign, swap, or unassign seats at any time.
Note
Organizations created from September 2026 onward start with this turned on. Organizations created before that start with it off, so switch it on if you would rather not assign every seat by hand.
Seats come with usage allowances that reset monthly. To purchase more seats, send a message from Team > Help or email info@holotutor.ai.
Classes
Classes group students so you can assign content and view engagement for the group. To create a class, open Classes and select New class. Enter a Name (for example, Algebra I – Period 3) and an optional Description, then select Create class. You will be added to the class as the instructor.

Select Manage next to a class to open it. From the class page you can:

- Select the class name or description to edit it.
- Select New assignment to assign content to the class (see Assignments).
- Select New member to add people from your organization by name or email and choose their role in the class (Student or Instructor).
- Change a member’s role with the menu next to their name, or remove them with the trash icon.
- Select View engagement to see active students, sessions, engaged time, and distinct content for the class over the last 7 days, 30 days, or all time.
- Archive or Delete class when the class is no longer needed.

Assignments
Assignments lists every assignment across your organization, whoever created it, along with the class, creator, due date, number completed, and status. To create an assignment, select New assignment here or on a class page (or select Assign on a lesson, quiz, flashcard deck, or course in the Library).

- Choose the type of content: Lessons, Flashcards, Quizzes, or Courses.
- Search for and select the item you want to assign.
- Under Assign to, choose the class (when creating the assignment outside a class page).
- Optionally set a Due date and add Instructions for students.
- Select Assign.

Students see assigned work as a To Do entry in their HoloTutor sidebar. Completing it updates the progress you see under Activity.
Activity and Student Progress
Activity shows what your students are doing. Choose a time range (7d, 30d, or All), and search to focus on one student, class, or assignment.

- Summary: Active students, sessions, active time, average session length, content opened, and assignments completed.
- Charts: Sessions per day, active time per day, and assignment submissions (completed, outstanding, and overdue). Select Show the numbers behind these charts to see the data.
- Students: Each student’s classes, sessions, active time, messages, content, accuracy, assignments, overdue work, and when they were last active.
- Most-used content and an Activity log of recent events, such as played lessons, study sessions, practiced activities, and work in the creator.
- Export: Download what is on the page as a CSV or PDF.
Select a student to see their charts and a list of their Sessions, which you can filter by Lesson, Study, Chat, or Creator.

Select a session to see exactly what happened. The Engagement tab shows engaged and paused time, questions the student asked the tutor, questions answered, and an Engagement Timeline of each board reached, how long the student stayed, and the questions on each board. The Boards and Transcript tabs show the content and the full conversation.

Moderation
Moderation (Team Leads) lists AI requests from your members that content moderation flagged. Blocked requests never reach the AI model. If your organization has a relaxed moderation profile, requests that were allowed through are listed too, marked Allowed.

Under Notification settings, choose whether to be notified on All moderations, and whether All team leads or Selected team leads receive the alerts. Recipients get a dashboard notification and an email (emails are batched, at most one every 15 minutes). Select Save changes.
Notifications
Notifications shows what happened in your classes, such as students completing assignments and anything content moderation flagged. It is the same list as the bell at the top of the dashboard, with more room to read it.
Organization Settings
Settings (Team Leads) lets you update your organization’s Name, Description, Organization Type (K-12 School, Homeschool, College / University, or Business), and Domain (the part after the @ in your organization’s email addresses). Select Save changes. Choosing Business changes the wording across the dashboard: students become employees and instructors become trainers.

The Your Data section explains how student data is handled. For each student, HoloTutor holds their profile, class and seat memberships, the lessons and activities they open, and the full text of their conversations with the tutor. This data is not sold, not used for advertising, and not used to train any AI provider’s models. Your school controls these records; to request an export or deletion of a student’s data, a school administrator can email info@holotutor.ai with the student’s name and the request.
Team Help
Help in the Team dashboard includes an assistant for questions about classes, assignments, and licenses, a list of frequently asked questions, and a Contact the team form. A real person on the HoloTutor team replies to every message.
Account & settings
Settings
Select Settings at the bottom of the sidebar to personalize HoloTutor.

- Tutor: Choose Show avatar or Hide avatar, and select the tutor avatar you would like to learn with. Your tutor teaches Study mode, activities, and the Home screen.
- Voice: Choose the voice your tutor speaks with. Search voices or filter by gender, age, and language, and select the play button to preview a voice.

- Voice Input: Choose the language the microphone listens for, or Follow my browser. Speech recognition listens for one language at a time and cannot detect which language you are speaking, so dictation only works in the language selected here.
- Theme: Light or Dark.
- Scene: Choose a Backdrop environment (such as a classroom, library, study room, or lab) or a Solid color background.
- Notifications: You always receive notifications in the app. Optionally, turn on Email me when I get a new assignment and, for instructors, Email me when a student completes an assignment (batched, at most one email every 15 minutes).
- Account: Redeem a purchase code or a join code from your Team Lead (see Redeeming a Code).

Troubleshooting & Network Requirements
Usage Limits When Your School Has Licenses
If you reach a usage limit even though your school bought licenses, work through these three causes in order:
- The wrong space is active. Open your Profile and look at the Organization section. If My workspace is selected, you are on the free plan; select your school’s organization instead. See Your Workspace vs. Your Organization.
- No seat is assigned to you. Your Profile shows Free plan when you do not hold a license. A Team Lead can assign one from Team > Licenses, and a Team Lead who is stuck can assign one to themselves straight from the limit message.
- Every seat is in use. Team Leads can see who holds what under Team > Licenses > Assigned Seats, unassign a seat nobody is using, or contact us to add more.
Team Leads can prevent the second and third cases with Assign licenses automatically.
Audio and Microphone
- Refresh the page first.
- Audio can only start after you have interacted with the page. If a lesson loads silently, select Play again.
- For voice input, make sure your browser has microphone permission for app.holotutor.ai (look for the microphone or lock icon in the browser’s address bar).
- Make sure the Dictation language (or Settings > Voice Input) matches the language you are speaking.
- Check that the tutor is not muted and the volume slider is turned up.
Browsers
Use an up-to-date version of Google Chrome, Microsoft Edge, Safari, or Firefox. If something does not load correctly, try refreshing the page or using a different supported browser. If you plan to clear your browser cache or site data, publish any lesson drafts first, because unpublished drafts are saved in the browser.
Content Visibility
- Content published as Private is visible only to its creator. To share it with students or colleagues, change its visibility to Organization or Public.
- Lesson drafts that have not been published are saved in the browser where they were created. Publish (privately if needed) to access them from another computer.
- If you belong to more than one organization, make sure the correct organization is active in your Profile.
